Beazley Summer Ball

Overview:

Annual Summer Black Tie Ball

Objectives:

To organise and create a themed party for 350 Beazley employees and their guests in central London with outside space

Solution:

The green field site of Bedford Square Gardens in WC1 was the preferred location as it was very central and offered outside space for drinks reception and after dinner activities.

A marquee structure was erected with a partial clear roof, glazing and a reception space with reveal drapes into the main dining and dancing space.  Infrastructure included in-built toilet facilities, kitchen, full power distribution and lighting.  Council liaison was required regarding parking restrictions and limited vehicle access, noise/sound pollution and licensing.  There was a health and safety site manager prior to and on site during set up, break down and during the event as well as 24 hour security.

The Old English Pier & Seaside theme lent itself to guests arriving in style on board route master buses for a champagne and canapé reception in the garden whilst enjoying the strolling entertainers.  The marquee was spectacularly themed in reds, gold and white with various features including a hall of mirrors bar, Punch and Judy set, band stand stage complete with resident seagull, personalised rock and table centres.  

Following a three course dinner, the 350 guests danced the night away to a live band and revelled in the traditional fairground entertainment – swing boats, fortune tellers, and coconut shy, test your strength, popcorn and candy floss, and 1940’s penny slot machines.  
Shuttles were provided to all main line stations along with taxi Marshalls to ensure guests had a hassle free and safe journey home.
